Introduction
GarGeon Sdn Bhd ("GarGeon", "we", "us", or "our") provides waste collection, disposal, and recycling services to Malaysian enterprises and businesses. This Refund Policy outlines the terms and conditions under which refunds may be issued for our services.
This policy applies to all B2B waste management services provided by GarGeon, including waste bin rental, scheduled collection services, recycling programs, and subscription-based services.
1. Scope of Services
This refund policy covers the following GarGeon services:
Waste Bin Rental: Monthly or annual rental of waste collection bins (roro bins, skip bins, front-load bins)
Collection Services: Scheduled waste pickup and disposal services
Recycling Programs: Recyclable material collection and processing services
Platform Subscriptions: Access to the GarGeon digital waste management platform
2. Waste Bin Rental Refunds
2.1 Cancellation Before Delivery
If you cancel your bin rental order before the bin has been delivered to your premises, you are eligible for a full refund of any advance payments made. Cancellation requests must be submitted at least 48 hours before the scheduled delivery date.
2.2 Early Termination
For monthly rental agreements, you may terminate with 30 days written notice. Refunds for pre-paid periods will be calculated on a pro-rata basis, minus a service termination fee equivalent to one month's rental. For annual contracts, early termination fees may apply as specified in your service agreement.
2.3 Service Quality Issues
If you experience persistent service quality issues (e.g., bins not delivered on time, damaged bins not replaced within reasonable timeframes), you may be eligible for partial refunds or service credits. Please contact our customer service team to report issues and discuss remedies.
3. Collection Service Refunds
3.1 Missed Collections
If GarGeon fails to perform a scheduled collection due to our error or operational issues, we will either reschedule the collection at no additional cost or provide a credit for the missed service. Credits will be applied to your next invoice.
3.2 Customer-Side Cancellations
Collection services cancelled by the customer with less than 24 hours notice may incur a cancellation fee of up to 50% of the scheduled service cost. Cancellations made more than 24 hours in advance are fully refundable.
3.3 Access Issues
If our collection team is unable to access your premises due to circumstances beyond our control (locked gates, blocked access, no authorized personnel available), the scheduled collection may be treated as a customer cancellation and standard cancellation terms will apply.
4. Platform Subscription Refunds
4.1 Monthly Subscriptions
Monthly platform subscriptions may be cancelled at any time. No refunds will be issued for partial months. Your access will continue until the end of your current billing period.
4.2 Annual Subscriptions
Annual subscriptions may be cancelled within 14 days of purchase for a full refund. After 14 days, pro-rata refunds may be available minus an early termination fee of 20% of the remaining subscription value.
5. Eligibility Conditions
To be eligible for a refund, the following conditions must be met:
All refund requests must be submitted in writing via email or through our official communication channels
You must provide your company name, account number, and details of the service(s) for which you are requesting a refund
Any rented equipment (bins, containers) must be returned in good condition, normal wear and tear excepted
All outstanding invoices must be settled before refunds can be processed
Refund requests must be made within 30 days of the service date in question
6. Non-Refundable Items
The following are not eligible for refunds:
Services that have been fully rendered and completed
Disposal fees for waste that has already been collected and processed
Administrative fees and setup charges
Charges for emergency or ad-hoc collection services that have been completed
Penalties or fees incurred due to improper waste segregation or contamination
7. Refund Request Process
To request a refund, please follow these steps:
Submit Request: Email your refund request to contact@gargeon.com or contact us via WhatsApp at +60 18-318 4895. Include your company name, account number, invoice number(s), and reason for the refund request.
Review Period: Our team will review your request within 3-5 business days and may contact you for additional information if needed.
Decision Notification: You will receive written notification of our decision, including the approved refund amount (if applicable) and any conditions.
Refund Processing: Approved refunds will be processed within 7-14 business days from the date of approval.
8. Refund Method
Refunds will be processed using the original payment method where possible:
Bank Transfer: Refunds for payments made via bank transfer will be credited to the same bank account used for payment
Credit Card: Refunds for credit card payments will be credited back to the original card
Service Credits: In some cases, refunds may be issued as service credits applicable to future invoices
Please note that bank processing times may vary, and it may take additional days for the refund to appear in your account after processing.
9. Disputes and Appeals
If you disagree with a refund decision, you may submit an appeal in writing within 14 days of receiving our decision. Appeals should include any additional supporting documentation. Our management team will review appeals and provide a final decision within 10 business days.
