A hotel runs several waste operations at once, and guests should notice none of them. If you run engineering or operations for a hotel group, three habits keep it that way. Map each department's waste. Time pickups around guest hours. Keep one record per property. Engineering waste is the exception: it is scheduled waste, and it needs a different contractor.

This guide gives you a stream map to fill in for each property. It shows how one hotel brand stopped overflow, and what the rules ask for scheduled waste.

Each department in a hotel throws away something different

Each area needs the right collector and the right record. Fill in the last column for every property you run.

A row with no name in it is waste going somewhere you have not checked.

Food waste is heavy and wet, and it cannot wait. Our food waste guide covers the kitchen in detail. Delivery cardboard earns a rebate only if it stays dry and apart from food waste. Our cardboard recycling guide shows how to keep cartons sellable. Used cooking oil goes through a recycling partner, in sealed containers.

For a refurbishment, hire a RORO bin for the job. A 2ft bin carries up to 3 tonnes and a 4ft bin up to 4 tonnes. Our bin rental guide helps you choose.

Which licence to check depends on your state. In the Act 672 states, such as Kuala Lumpur and Johor, your collector needs a SWCorp licence. There, separating waste at source has been compulsory for commercial, industrial and institutional premises since 2020 (The Star, 8 Dec 2025). The rule asks you to separate waste, appoint a licensed collector and keep disposal records.

In Selangor, an extension of Act 672 was announced on 29 July 2026, but no start date has been published. Local councils and KDEB Waste Management still run solid waste there, so check with your council. Our guide to waste management in Malaysia sets out the rules state by state.

Capri by Fraser stopped overflow by timing collections around the hotel

Capri by Fraser runs premium hospitality properties in Malaysia. Its old vendors collected at fixed times that did not fit the hotel's day. Waste piled up, and overflow showed where guests could see it. With a different vendor at each property, it was hard to hold every site to one standard.

We designed collection times around how the hotel runs. Every property moved into one system, GarGeon Connect. Cooking oil recycling was added.

The case study reports zero overflow incidents across every property since the switch. Recycling is up 35%.

The lesson for any hotel: the collector's timetable should fit the hotel, not the other way round.

Pickups should follow guest hours, not the collector's route

A collector plans its route to suit its lorries. A hotel needs pickups that suit its guests. Agree three things in writing.

  • A back-of-house window. Collect when the service lane is clear of deliveries and guests are not arriving. Your hotel's day sets the time.
  • Extra pickups on event days. A banquet, a wedding or a conference can fill the bins in one night. Book the extra pickup when the event is booked, not when the bins are full.
  • Room in the refuse chamber. Size it for the longest gap between pickups, such as a long weekend. Food waste cannot wait that long, so give it its own, more frequent run.

Then check every scheduled pickup against the logged one. A missed pickup shows in the record before it shows as overflow. Each record should carry a photo, a timestamp and the weight.

Your housekeeping team's own instructions matter too. Tell them which bin each item goes in, and where full bags wait for the service lift.

Engineering waste is scheduled waste, and it needs a different contractor

The oils, batteries, paints and electronics your engineering team throws away are scheduled waste. The Department of Environment (DOE) regulates them under the Environmental Quality (Scheduled Wastes) Regulations 2005. Common examples in a hotel:

  • spent lubricating oil (SW 305)
  • lead-acid batteries (SW 102), and lithium and other batteries (SW 103)
  • electrical and electronic waste (SW 110)
  • paints and inks (SW 417)
  • rags, plastics, papers or filters contaminated with scheduled waste (SW 410)

Keep all of it out of the general bin. A mix of scheduled and ordinary waste counts as scheduled waste (SW 422).

It needs a different contractor: one licensed by the DOE. The DOE's eSWIS list of licensed scheduled-waste facilities and transporters, at eswis.doe.gov.my, shows who holds a licence.

Keep the consignment note for each pickup for at least three years. You, the contractor and the receiving premises each keep a signed copy.

Scheduled waste is the DOE's remit, not ours.

A hotel group needs one record across every property

Each property should report what it threw away, by stream, and where it went. Then the group adds the figures up.

The GRI waste standard asks for three figures, each as a total weight: waste generated, waste diverted from disposal and waste directed to disposal. If your group is listed, Bursa's reporting guide asks for the same split.

Those figures add up only if every property weighs the same way. A per-bin invoice from one hotel cannot be added to a per-kilogram invoice from the next.

We do this in two ways. GarGeon Connect works with the collectors you already use, anywhere in Malaysia. You get one dashboard and one report for every property. Or we run collection too, through licensed collectors across KL, Selangor & Johor, on one contract and one invoice. Then every pickup carries a photo, a timestamp and the weight. One partner for every property and every stream is what we call total waste management.

Westlite runs worker dormitories at five locations in Johor and Selangor this way, with 95% of pickups on time. Our guide to waste management across multiple sites lists the contract clauses to ask for. See how it works for hotels and serviced residences.

A licensed solid-waste collector. In the Act 672 states, such as Kuala Lumpur and Johor, that means a collector with a SWCorp licence. Ask for its licence number and confirm it with SWCorp. In Selangor, local councils and KDEB Waste Management still run solid waste today, so check with your local council. Used cooking oil goes through a recycling partner.

Mostly engineering waste. Spent lubricating oil is SW 305. Batteries are SW 102 and SW 103. Electrical and electronic waste is SW 110, and paints and inks are SW 417. Contaminated rags or filters are SW 410. A mix of scheduled and ordinary waste counts as scheduled waste (SW 422). It needs a DOE-licensed contractor from the eSWIS list, and a consignment note kept for at least three years.

Around guest hours, not the collector's route. Collect from back of house when the service lane is clear. Book extra pickups when an event is booked. Give food waste its own, more frequent run. Then match each scheduled pickup to the logged one, so a miss shows before the overflow does.

Yes, if the hotels are in Kuala Lumpur, Selangor or Johor. That is where we run collection, through licensed collectors, on one contract and one invoice. Elsewhere, GarGeon Connect works Malaysia-wide with the collectors you already use. So a group with hotels in other states still gets one dashboard and one report for every property.

Running waste across several hotels?

GarGeon puts every property's pickups on one dashboard. Where we run collection, through licensed collectors across KL, Selangor & Johor, each pickup carries a photo, a timestamp and the weight. The software also works with your own collectors anywhere in Malaysia.
